How much an AI chatbot for a company costs: what the price depends on

Bad Prompt Studio · October 1, 2026

“How much does a chatbot cost” is the question we get more than any other. The honest answer is that the price depends on a few things, and once you know them, you can easily compare quotes and avoid paying for what you do not need.

1. How many channels the chatbot works on

A chatbot for the website only is the simplest. Every additional channel (Instagram, Facebook, WhatsApp, Viber) needs its own integration and testing. WhatsApp, for example, runs through an official business account that also has its own per-conversation costs.

Tip: start with the channel where you get the most messages, then add the others once you see results.

2. Whether the chatbot only answers or also does something

A chatbot that answers questions about prices and opening hours is one thing. A chatbot that puts an appointment in the calendar, enters an order into a spreadsheet or a customer into the CRM is another, because every integration with another program takes extra work.

3. How much knowledge the chatbot needs to have

A salon with ten services and one price list is a small job. A store with a thousand products, or a company with many rules and exceptions, takes more preparation. Most of the work is not technical. It is organizing the information so the chatbot always has the correct answer.

4. AI usage costs

Besides the build, there are monthly costs: the platform the chatbot runs on and the AI model, which is paid per use. For a small business these are usually small amounts, but they grow with the number of conversations. Ask the agency to tell you up front roughly how much they come to for your number of messages.

5. Maintenance

Prices change, new services arrive, customers ask questions the chatbot cannot answer yet. Without maintenance, a chatbot starts giving outdated information after a few months. Monthly maintenance usually includes monitoring conversations, adding knowledge and changes on request.

What to ask before you sign a quote

  1. What exactly is included in the build price, and what is paid separately?
  2. What are the monthly platform and AI model costs for my number of messages?
  3. What does the chatbot do when it does not know the answer?
  4. Who owns the accounts and the data if we stop working together?
  5. Can I see a prototype before paying the full amount?
